What a freshers' stall is actually competing for
A society stall has about four seconds of attention and roughly two hundred competitors within fifty metres. Sign-ups are not won by the loudest table. They are won by being the stall a fresher can still identify on the Thursday, when they are sitting in halls deciding which of the eleven WhatsApp groups they joined are worth keeping.
That is the job branded kit does at a freshers' fair. Not decoration — recall. Which is why the committee wearing matching garments outperforms almost any giveaway on the table.
Kit the committee before you kit the members
If your budget only stretches to one order, put it on the people standing behind the table. Six to eight matching tees or polos with the society name across the chest reads as an organisation rather than three students and a laptop. It also solves the practical problem of a fresher not knowing who to ask.
A premium custom t-shirt is £22 at 20–49 units, so a committee run of eight sits above that band and is worth pooling with your member order to reach the break. If you want the kit to survive being worn to socials all year, a performance polo at £34 in a piqué knit holds its shape considerably better than a jersey tee — the trade-off is cost and a slightly less student feel.
The freebie we tell societies not to buy
Branded pens. They cost real money per unit, they are indistinguishable from every other stall's pens by the time the bag is emptied, and they carry no information about what your society does. We have never seen a pen convert a sign-up.
If you want a giveaway, make it a sticker. Stickers are cheap, they end up on laptops and water bottles where other students see them for a year, and they carry your handle. A personalised mug at £13 works far better as a committee thank-you or a raffle prize than as a mass handout — give away fifty and you have spent £650 to hand mugs to people who joined nothing.
How many member garments to order
Do not order member kit before the fair. Take orders at the fair, close them in week three, then produce. Societies that pre-order guess high and spend the rest of the year trying to sell XL hoodies to people who wanted mediums.
As a planning figure: expect around 15–25% of sign-ups to actually buy kit in the first term. A society with 120 sign-ups is realistically a 20–30 piece run, which lands neatly in the first price band. Lead times, and the deadline nobody plans for
Freshers' fairs cluster in the last week of September. Artwork approval, production and delivery on a 20–50 piece decorated order needs a realistic window — place committee kit in the first half of September at the latest, and earlier if your design needs digitising for embroidery, which adds a step before anything goes on a machine.
The honest version: if you contact us four days before the fair, we will tell you whether it is possible rather than take the order and hope. Sometimes it is. Often the answer is that a rushed run of your society logo will look rushed, and you are better spending that money on kit in week two that people actually wear all year.
Design so it survives the walk home
Society designs fail for predictable reasons. Thin outlines under 1mm break up in DTF and disappear entirely in embroidery. Gradients look fine on screen and muddy on a dark garment unless the white underbase is handled properly. Six colours in a crest raises the stitch count — and the cost — without reading any better from two metres away.
Simplify to two or three colours, set a minimum line weight, and test it at chest size on a phone screen. If it is unreadable at 5cm, it will be unreadable on a shirt.
